Overview:
SUMMARY: The Recruiting and Associate Development Coordinator provides administrative support for the department and coordinates all aspects of recruiting and associate development, while assisting with other legal recruiting and legal personnel functions.
Responsibilities:
ESSENTIAL DUTIES AND RESPONSIBILITIES: “Essential Functions” are primarily job duties that incumbents must be able to perform unassisted or with some reasonable accommodations made by Wachtell, Lipton, Rosen & Katz.
ASSOCIATE DEVELOPMENT-RELATED DUTIES
- Collaborate with Recruiting and Associate Development Manager and cross-functional teams to provide project management support for professional development programs, initiatives, and milestone events.
- Provide comprehensive project management and logistical support for in-person, virtual, and hybrid programs and other initiatives, including creating and managing timelines, coordinating with presenters and reception services, scheduling, preparing and distributing invitations and reminders, providing detailed instructions to speakers and attendees, and onsite support.
- Collaborate with cross-functional teams to align logistics, technology, and materials for a high-quality participant experience.
- Produce virtual training programs via Zoom, including creating meetings, polls, and breakout rooms, managing live sessions, and troubleshooting technology as needed.
- Coordinate with internal and external speakers, including scheduling meetings, reviewing presentation materials, and processing expenses.
- Support and execute key initiatives, including the firm’s mentoring program, by coordinating logistics, tracking participation, preparing communications and materials, and partnering with Recruiting and Associate Development Manager to ensure successful delivery and engagement.
- Manage various administrative aspects of professional development, including surveys, reporting, and special projects.
- Draft, maintain, and update content on the Associate Development intranet pages to ensure training schedules, materials and all other information is accurate, current, and engaging for users.
- Oversee the submission, processing, and tracking of vendor invoices, including liaising with Accounts Payable to ensure timely payment and accurate recordkeeping.
- Provide general team support, including coordinating meetings, maintaining timelines and checklists, and liaising with internal business professional teams to ensure seamless execution.
- Coordinate Visiting Attorney Program:
- Facilitate relocation, orientation, departure, etc.
- Organize Visiting Attorney CLE presentations.
- Maintain and upload updated Class Dean/Mentor assignment documents.
- Assist with completing employer affidavits.
RECRUITING-RELATED DUTIES
- Support the department in recruiting efforts, including scheduling interviews, preparing recruiting committee meeting agendas with feedback reports, drafting offer letters and organizing post-offer visits. Track law school and student organization requests to the Firm, and coordinate with students to staff events. Provide support for Summer Associate Program by:
- Monitoring time entries for all summer associates;
- Collecting summer associate feedback and creating feedback files;
- Assigning attorney big sibs and dinner partners for incoming summer associates;
- Coordinating end of rotation and end of summer reviews for summer associates; and
- Organizing social events.
- Support and attend recruiting, summer associate, and Firm functions as requested and be a visible part of Firm culture.
- Assist with maintaining recruiting and associate development statistics, including creating and analyzing reports.
LEGAL PERSONNEL-RELATED DUTIES
- Prepare correspondence and information for new attorney hires; process salary advances; maintain on-boarding data; draft first day orientation memos and biographies.
- Process background checks, coordinate with Human Resources and complete new hire packets;
- Collect and process new hire materials.
- Assist in the preparation of new attorney orientations, including fall and lateral off-cycle hires.
- Process bar-related and relocation expenses for new hires.
- Assist in the planning and execution of the thrice-yearly Dinner Around Town events as well as other social events.
- Coordinate Manicare, Shortcut and tailoring and other personal services appointments.
OTHER DUTIES
- Maintain membership with the local city group New York City Recruitment Association (NYCRA) and the National Association for Law Placement (NALP).
- Serve as a resource to associates to discuss matters on an ad hoc basis.

Qualifications:
KNOWLEDGE, SKILL AND ABILITIES REQUIRED:
- Knowledge of current recruiting and associate development best practices.
- Excellent oral and written communication skills and interpersonal skills to deal effectively with all levels of personnel. Professional and gracious demeanor and service attitude at all times.

- High proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel). Familiarity with Zoom and/or virtual conferencing required. Experience with learning management systems (LMS), continuing learning education (CLE), and familiarity with Attorney Tracking Systems and FloRecruit, ViRecruit, or similar databases.
EDUCATION AND EXPERIENCE:
- Bachelor’s degree required.
- Two or more years’ experience in a professional services environment in the area of professional development and/or recruiting.

WORKING CONDITIONS:
- Normal office environment with little exposure to excessive noise, dust, temperature, etc.
- This position is full-time and requires flexibility to maintain confidentiality, work extended hours and/or travel, as necessary.
