The Analyst Program Coordinator will assist with all aspects of the administration and coordination of the Firm’s Analyst Program and Alumni Relations efforts. The incumbent will work directly to support Senior Program Managers and liaise with the Senior Analyst team and other departments as necessary. Primary focus of the role will be on recruiting and daily administrative support.


Recruiting: Serve as the Recruiting Coordinator to assist Senior Managers with all aspects of full-time analyst and summer internship recruiting across global offices. Coordinate all recruiting efforts, including on-campus recruitment (OCR/OCI), scheduling of interviews, conferring with universities, and organizing in-person/virtual events. Process all applications and interview feedback, conduct reference checks, manage the firm’s Workday system and correspond with applicants. Manage recruiting inbox and database tracking of applications. Prepare materials for various recruiting events, update materials such as job descriptions, infographic/data, presentations, etc. Maintain the internal and external website (in conjunction with Marketing) to ensure relevant information relating to the Analyst and Alumni Programs is always current. Analyze candidate application data. Analyze data and research trends in US and non-US markets. Assist with special projects pertaining to headcount, recruitment, hiring and program development. Assist with offer process and onboarding of new analysts and interns.

Administrative Support: Provide general administrative support to the team including documenting and prioritizing short and long-term deadlines, maintaining meeting calendars, updating contacts, etc. Proactively track status of ongoing projects and facilitate strategic planning including assistance with presentations. Monitor missing time and compliance of firm best practices, assist with audit coordination, expense tracking, scheduling of meetings, maintaining records and documents.

Retention & Professional Development: Assist with event planning, idea generation and programming pertaining to recruiting, retention and professional development. This includes new hire events, annual retreats, peer-to-peer professional development, professional development program, welcome events, lunch and learns, team-building programs, and other events throughout the year across all offices. Assist with managing the annual retention calendar and tracking spending of events or offerings to analysts and litigation assistants. Assist with the Kobre & Kim Scholarship Program.

Performance Reviews: Assist with the annual performance review process by liaising with HR and Analyst Management, coordinating the collection of feedback from various stakeholders, drafting feedback documents, and scheduling in-person review meetings.  Develop and support year-round, real-time feedback collection efforts.

Alumni Relations: Work with Analyst Program Managers and relevant firm departments to further develop the firm’s Alumni Relations program with focus on analyst alumni. Includes support organizing events with alumni, networking, and initiatives. Assist with development of content for the Alumni Relations website and platforms. Update and maintain alumni information in firm marketing and alumni databases (OnePlace, DMS, drive).

Training: Work with Analyst Program Management to coordinate analyst and summer intern trainings for new joiners in conjunction with the larger Senior Analyst team. Assist with periodic trainings on priority topics for analysts and litigation assistants. Provide training to assist in ongoing professional development for analysts and liaise with firm management and attorneys. Help maintain the Analyst/LA Training Library on the internal website. Provide additional support to the Managing Attorney's Office to develop training and resources on court procedures for analysts and litigation assistants.

Data Analytics: Support Analyst Program development by playing a critical role in the implementation of new programs, policies, trainings, and other initiatives to drive forward the continued development and improvement of the Analyst Program. Perform relevant research and analysis to provide objective measurement of outcomes. Track annual budget spending. Assist Program Managers with year-end, mid-year and quarterly reports and presentations.

    B.A. required
  • 2-3 years of relevant experience, preferably in a law firm or professional services firm
  • Possess excellent communication (written and verbal) and interpersonal skills
  • Highly proficient in MS Office (Outlook, Excel, PowerPoint, Word) including number and data analysis
  • Experience with HRIS System, Workday platform preferred
  • Ability to exercise a high degree of professionalism, diplomacy, and confidentiality in interactions with all levels of the organization
  • Strong organization, prioritization, and multi-tasking skills in a fast paced, high-pressure environment
  • Possess excellent follow through skills and demonstrate ability to anticipate and address business needs proactively
  • Demonstrate a strong work ethic and self-motivation with a desire to take initiative and seek process improvement to create efficiencies
  • Highly adaptable to a fluid and ever-changing work environment
  • Flexibility to work additional hours as needed
  • Potential for occasional travel for on-campus recruiting during peak season as needed
